The Administrative Assistant plays a vital role in supporting the daily operations of a mental health counseling practice. This position serves as the first point of contact for clients and ensures smooth coordination between clients, clinicians, and administrative processes. The ideal candidate is professional, compassionate, organized, and detail-oriented, with the ability to manage multiple tasks while maintaining strict confidentiality and a welcoming environment.
20 hours a week; there is potential of increasing hours in the future if desired or during busier times and events. Employees qualify for benefits with maintaining 20+ hours. Highly flexible schedule for parents, college students or otherwise busy individuals. Great for students in the metnal health field.

Position Details:
- Hours: 20 hours a week, with potential for increasing hours as we expand if desired. Schedule is highly flexible. Employee will be eligible for health insurance plan paid in part by the company and additional benefits as they become available with expansion.
- Setting: Administrative support will work in office reception area.

Client-Facing Responsibilities
- Answer incoming phone calls, respond to voicemails, and manage email correspondence in a timely and professional manner.
- Greet clients warmly upon arrival and create a welcoming, supportive environment.
- Collect copays and process payments as needed (most are automatic).
- Assist clients with paperwork, intake forms, and practice policies as needed (most are completed electronically).
- Maintain strict confidentiality and HIPAA compliance.
Scheduling and Administrative Support - Schedule, confirm, and update client appointments for multiple clinicians as needed.
- Assist clinical staff with administrative tasks such as preparing documents, managing client files, and coordinating communication.
- Manage and organize physical and digital filing systems for client records, insurance documents, and office paperwork.
- Monitor and manage inventory of office supplies and clinical materials.
- Run insurance status checks for new clients and clients with changing insurance plans.
Office Operations and Upkeep
- Ensure the reception area and common spaces remain clean, organized, and welcoming.
- Perform light cleaning and upkeep of the suite, including restocking supplies, taking out small garbages, sanitizing surfaces, and maintaining a professional environment.
- Coordinate with vendors and service providers as needed for office maintenance.
General Support and Other Duties - Provide administrative support to clinical staff as needed.
- Content posting on social media and sharing information via email.
- Assistance in developing social media content and newsletter.
- Assist with special projects, events, or outreach activities as assigned.
- Demonstrate flexibility and a willingness to take on other tasks to support the success of the practice.
Qualifications and Desired Skills & Attributes
- High School Diploma or GED required.
- Familiarity with electronic health records (EHR) or client management systems preferred but not required, specifically Simple Practice.
- Competent or open and able to learn competence with Facebook, Instagram, Canva, and Google Workspace.
- Ability to maintain strict confidentiality in compliance with HIPAA regulations.
- Strong organizational, communication, writing, and multitasking skills.
- Must be reliable, punctual, and able to work independently and collaboratively.
- Compassionate and professional demeanor when speaking with clients experiencing emotional distress.
- Ability to handle unexpected situations calmly and efficiently.
